# What should I do before Wizzflix comes by for an on-site production?

When setting up a film production within your organization, it is crucial to be **well-prepared**. The smoother the production runs, the better the **images**, the better the **atmosphere** and, not least, the **lower the costs**.

**Preparing a video production at your organization is done in 7 steps:**

Planning
Extras
Lunch & water
Clothing and personal care
Informing colleagues
Inform extras
Spaces in order
Decoration and brands

**Step 1. Read through the planning**
To make the production successful, **accurate planning** is important. Efficient planning minimizes **waiting times** and keeps everyone on set **involved** and **energetic**. This is why we always create a script that defines time who should be where.

**Step 2. Prepare extras**
The most essential thing is to choose the **right people** for our film shoots. Think of colleagues who are **friendly**, always radiate **positive energy** and fit in well with the atmosphere of your company. They must **represent** the organization well in front of the camera.

*Example to ask for extras*

*Dear Team, We have a fun opportunity for those who love to shine in front of the camera! We are looking for enthusiastic colleagues who would like to act as extras during our upcoming film shoot on \[DATE\].*

*We know that cheerfulness is the beating heart of our organization, so we are looking for team members who sparkle with positive energy! If you are the one who always has a smile on his/her face and brightens up the working day with a dose of positivity, then we want you!*

*Please let us know if you are interested in being part of this great experience.*

*Do you have any questions or want to apply? Get in touch with \[NAME\].*

**Step 3: Make sure you have lunch and plenty of water**

No one performs impressively on an empty stomach! Can you make sure there is **enough food and water** available on set? A light, **easy lunch** will help keep everyone energized and the atmosphere **positive**. No one wants hungry people on set, right?

**Step 4: Ensure proper clothing and personal grooming**
Make sure all extras understand what clothes they should wear, and these should be in good condition. After all, the **smallest detail**, such as a dirty trainer or a worn-out slouch, can **ruin an entire shoot**. You do this by giving **clear instructions** on the required clothing and making sure it is in **good condition**. This not only contributes to the visual quality of the shots, but also to the **overall success** of the production.

**Step 5: Inform all colleagues**
Ensure clear **communication** to the team about upcoming film shoots. Point out the presence of the film crew, possible **disruption**, and **emphasize** the value of their cooperation. This promotes smooth production and increases staff **involvement** and **enthusiasm**. Openness about the purpose of filming and how it contributes to improvement increases **understanding** and **cooperation**.

*Example of announcement film crew*

*Hi team!*

*Great news!On \[DATE\] between \[TIME\], the Wizzflix film team will come by to shoot a cool training programme for \[RELATION\]. They want to capture our best tips & tricks and share them via an app. Super convenient, right?*

*While this might cause some inconvenience, your cooperation is important and hugely appreciated.*

*We understand that the crew might get in the way, but we trust you will show flexibility and understanding. Your enthusiasm will contribute to the success of these shoots and ultimately to the growth of our company. Let's work together to make this experience positive and productive.*

*If you have any questions or need more information, please do not hesitate to get in touch.Thank you for your valuable cooperation!Got any questions? Ask \[NAME\].Thank you for your energy!*

*Greetings, \[Your Name\]*

**Step 6: Informing Extras**
The extras are the stars of the show, and they must be well-prepared. Make sure they are given **clear instructions** on what is expected of them. **Good preparation** and **clear communication** will result in **great performances** in front of the camera.

*Hi team,*

*Good news! We are going to launch a film production for our business and we need your enthusiasm and talent to make this a great success. Here are the details you need to know:*

*To all extras: you are not just participants, but the heroes of the day! . Show your best self and enjoy the moment! We will be shooting on \[DATE\] from \[BEGINTIME\] to \[ENDTIME\]. Make sure you are present on time so we can start smoothly. Together we will make sure everything runs smoothly*
*No worries about food and drink. We will provide a delicious lunch and plenty of water to make sure everyone stays energetic. This way, we can put on a great performance together.*

*We want everyone to feel involved and able to shine. Prepare to show off your daily tasks and share your positive energy with the camera. You make our business special, and we want to show that to the world!*

*What can you prepare?*
*Make sure you have your best shoes on and groomed yourself well. Put on your \[RELATION\] work clothes and make sure you look tiptop.Polish your shoes and make sure you have clean nails and minimal jewellery. Last and most important, be yourself. Everything is re-filmable, cut out so don't worry, we will make sure you look good.*

*We would like to film you at: \[TIME LOT\]*

*Should you have any further questions please contact \[NAME\].*

*Thanks in advance!*

**Step 7: Make sure the spaces are in order of your business.**
We want the business to **shine on screen**. Spaces need to be perfect, so **pay attention to details**. Remove **unnecessary** items, **polish all surfaces**, windows and make sure the atmosphere is perfect for the shoot. Anything you don't want on screen (brands, notes, sign-off lists, crates etc.), remove it. **Less really is more on camera**. Show the camera only the best of things!

**Step 8: Pay attention to your decoration and brand logos**
Footage taken on location will be used for a long time and thus visible to others for a long time. Therefore, make sure **seasonal decoration** and lighting are not visible. Also pay **attention to brands** on, for example, umbrellas, tap installations, felts and so on. It is difficult to remove these brands afterward if, for example, a collaboration stops between you and the visible parties. By preparing the videos **as universally as possible**, you ensure that the videos remain timeless for a long time. Let's make these preparations to ensure that our film production **goes smoothly** and is a great success. If there are any questions or comments, please let us know. *Together, we will make it something great!*
